Reminder - Protocol for requesting leave of absences

When you are feeling sick the day/night before or during the weekend

  1. You may contact a sub from the substitute list. Please also submit the Leave Request.
  2. In case the above doesn’t work, you can email Remi and CC Heikki to ask for sub arrangement. She normally reads email until 9:00pm.
  3. With Heikki’s approval, Remi will look for sub(s) based on the information on the submitted Leave Request. When she finds you one(s), she will email you with information.
  4. Please create and share your lesson plan and other necessary info with your sub(s), Remi and Heikki by email at least one day before the intended day for subbing. Please remember your sub(s) need time to prepare.
  5. When creating your lesson plan and other necessary info, please be sure to include the following:


  • Before 9:00am, attendance needs to be either emailed or delivered in a form of note to the ES Office.
  • Student allergy info (if applicable)
  • Recess duty related info (if applicable)
  • If your students need to be escorted from which classroom to which one at what time (specials & Japanese)
  • At the end of the day, a note regarding how the day went, how much progress was made, if any problems occurred, and from where the lessons should resume, etc. should be left for the teacher who is taking it over the following day.
When you are suddenly feeling sick in the morning:
  1. You may contact a sub from the substitute list. Please also submit the Leave Request.
  1. In case the above doesn’t work,
  • between 6:00-7:30am, please email Remi and CC Heikki. Remi will try to find you a sub via email (please note she’s already on the train and can’t make phone calls.)
  • between 7:30-8:00am, please email Heikki and CC Remi.

When your reason for absence is “Professional Leave”
  1. When you are participating in conferences outside of CA, please follow the same procedure as above.

  1. When CA is organizing PDs, Remi will submit the Leave Request on your behalf and arrange subs as necessary. In this case, we ask the organizer of the PD to notify Remi as soon as he or she knows the detail. Please allow at least several business days for this arrangement.

When your reason for absence is something other than “Professional Leave”
  1. When you need to take (a) day(s) off, please submit the Leave Request: http://database.canacad.ac.jp/requests/substitute_requests/home.php

  •  If you need to take (a) day(s) off but don’t require a sub, please input “no sub needed” under Substitute Name.
  •  You are welcome to contact sub teachers by yourself, in which case please indicate in the form that he or she has already agreed to cover for you. Please, use subs from our sublists only.
  •  Since our “sub list” is much shorter this year and the ES and SS share most of the subs, please submit the form as soon as you know you will need (a) sub(s). Depending on the circumstances we will ask EAL and LS teachers to cover for other teachers.
*Both Remi and Heikki can modify the Leave Request form. If you made a mistake filling it out, etc., please email Remi with the Request Number and how you’d like it to be modified rather than submitting a new request.

Heikki is out this morning

Heikki will be visiting a newly built Japanese school this morning with some members of the School Leadership Team. The visit is supporting the thinking and planning of next steps of the CA Master Facility Plan.

Dear colleagues,
Congratulations for hitting the last week before the winter break! We can all feel very fortunate of the amount of dedicated professionals, innovation, and inspiration surrounding us every day. Additionally, we are very lucky with the students we have. They work hard and are willing to take risks to learn something new. We will all get together on Friday for the Winter Holiday Assembly lead by Kim and Trevor.
Please, continue to supervise the students as vigilantly as possible to avoid as many as possible before-the-holiday-emotional-crashes. Check out the blog post from the past week to see the guidelines for supervision as well as guidelines for the coming report card writing. Enjoy the last week of the year with your wonderful students and colleagues before wishing all Happy Holidays!

Leave of Absence with a short notice

Dear colleagues,

Here is the protocol for organizing and communicating a leave of absence with short notice.

Feeling suddenly sick the day/night before:
You may contact a sub from the substitute list
In case it doesn't work you can email to Remi-san
Remi-san will read sub-request emails until 9:00 pm

Feeling suddenly sick in the morning
Between 6:00 - 7:30 Email  Remi and cc Heikki.
Remi-san will try to find the sub and then communicate with the relevant teachers
Between 7:30 - 8:00 Email Heikki and cc Remi

In all cases please:
  • Fill in the leave request form (Can be also found on the CA website)
  • Email Remi, Heikki, and colleagues who you were planning to collaborate or co-teach the next day.
  • Provide Sub plans either by forwarding them to the ES Office, emailing them directly to the substitute teacher or leaving a hard copy in the classroom.

Please welcome Ms. Remi Yamaguchi

Dear colleagues,

Ms. Remi Yamaguchi, Yuko's maternity leave substitute will be visiting the ES Office on Tuesday the 7th of June between 1:00 and 4:30.

Yuko's maternity leave officially starts in the 2nd week of August and Remi will be working in the ES office the school year 2016-2017. If you have a chance, please stop by the Elementary School office to welcome Remi to CA.
